How to brief a coach company (and actually get the quote right)

Adam Bradshaw6 min read

We take enquiries every day, and the ones that come back with a sharp, fair quote all have a few things in common. If you're new to booking coach travel — or if you've always felt it's a bit of a guessing game — this one's for you.

Start with the shape of the day

Before anything else, we need the when and the where. Pickup location, drop-off, any stops, and whether it's a one-way, return, or multi-day run. If the day is still being scoped, tell us the windows you're working inside — we can price on the worst case and come back to refine it.

Passenger count honestly

It's tempting to round up “just in case”. Resist. A 24-seater is a very different coach to a 32-seater, and the price difference is real. Tell us the likely number and the ceiling, and we'll recommend the right vehicle.

The things that change the price

  • Time in yard vs time on the road — a driver on-standby at a wedding venue for 6 hours is priced differently to a two-way transfer.
  • Anti-social or overnight operation — check whether your day runs late.
  • Livery, uniform, or branded element — we can usually handle these with notice.
  • Specialist access — stadium egress, private estates, ferry routes.

What you don't need to worry about

We cover parking fees and toll roads as standard. We plan the route. We don't charge for mileage dead-head from yard to pickup. Those are all baked into the all-inclusive price.

Bottom line

Ten minutes on the brief saves hours later. If you're not sure, pick up the phone — we'd rather chat than send quotes based on guesses.
